What Are Workflow Management Rules?

Workflow management rules provide the ability for businesses to define their own business procedures without requiring extensive programming skills. These rules assist organizations in automating the process of performing tasks that need to be completed and provide the ability to spot possible issues with a process in real-time.

In a workflow rule, the evaluation criteria are set to determine the exact time the action should be executed. The criteria can be based upon different parameters like the field’s value, the type of record and ownership of records, and much more. Workflow rules are able to be configured to trigger actions based upon events involving notes in one particular module. For instance, a firm might configure the rule to run when notes are added or modified so that it is easy for support teams to keep track of any mentions of competitors in emails and then respond quickly.

Once a rule is triggered it will trigger either an instant action or a scheduled one. Instant actions occur right after the rule is activated. Scheduled actions are activated later.

The scheduled action will take place at the time and date specified. The action can be an email notification, field update, task, webhook or function. You can also select any email notifications, tasks, field updates or webhooks to link with the planned action. You can also select a board room tag that will be used to filter data recorded for this action.
